Guest and external orders

Guest and external orders: sell club merch to fans, parents and other clubs

Your club's circle is bigger than its member list. dodgehub lets you share a private order link so that parents, fans, alumni and other clubs can buy a jersey or hoodie without creating an account, while you still see every order in the same list.

The problem with non-members who want merch

Every club has them: the parent who wants the same hoodie as their child, the friend who saw the jersey at a tournament, the alumnus who left two seasons ago but still wants to support the team, the club from the next town who would like a matching shirt. They are not members, and you do not want to add them to the club chat just so they can send you a size.

The usual workaround is a side channel. Someone forwards the product list by message, replies come back by direct message, and the guest orders end up in a separate note that has to be merged into the main list by hand. That is exactly where sizes get lost and payments go missing.

A checkout that works for people you have never met

The guest checkout asks for what you need and nothing more: a name, an optional email address, the product fields you defined (size, name on the jersey, colour) and the payment method. Guests see the club's payment instructions in the same way members do, as explained on the page about collecting member payments.

Separate guest prices

Every product can carry an optional guest price. This is useful when you sell fan merch at a margin that supports the club, or when external buyers should pay a different amount than members. If you leave it blank, guests pay the member price.

An order reference they can use

After checkout the guest receives an order reference. With it they can open the order status page at any time to see where their order is, without asking you.

Confirmation by email

If the guest enters an email address, dodgehub stores it on the order and sends an “order recorded” email, so the reference and payment instructions are in their inbox.

Order status lookup instead of “where is my hoodie?”

Guests do not have a dashboard, so the order status page is their window into the process. They enter the reference, and see whether payment is still awaited, whether it has been reported or received, and where the order is in the lifecycle: awaiting delivery, stock at the club, ready to collect or completed. They can also report payment from there, which lets you verify it exactly like a member's.

Everything lands in the same order list

For managers there is no separate system to reconcile. Guest orders sit in the same session list as member orders, marked as external. You can filter the list by channel, see member and external quantities side by side in the totals by product and verify payments in one place.

If a guest orders by phone or in person, a manager can create the order manually, choose the guest channel and enter their name and optional email. That way even offline orders end up in the same list and the same supplier total.

Typical ways clubs use guest orders

  • Parents and family buying matching hoodies for a youth team.
  • Fans and supporters ordering fan merch before a home tournament.
  • Alumni and former players who want to stay connected to the club.
  • Other clubs and partners ordering a joint kit, for example a combined team for a cup.
  • National squads and associations, where staff and supporters order next to the players, as described on the page for associations and federations.

Privacy and control

Guests do not need an account and do not appear in your member directory. The data collected is what the order needs: a name, an optional email and the answers to your product fields. You decide per session whether guest orders are allowed at all. Switch the option off and the link stops working.

Frequently asked questions

Do guests need to create an account?

No. Guests order through the session's private link without registering. Only your members need accounts.

Can I stop guest orders after a while?

Yes. Closing the session ends ordering, you can switch guest orders off for the session, and rotating the token invalidates the old link immediately.

Let fans and parents order without the chat

Enable guest orders on your next session and share one private link.
