The awkward part of every club order is not the list, it is asking the same person for the third time whether they sent the transfer. dodgehub keeps the payment status next to the order, so you can see who paid at a glance and nudge the rest with one click.
Let's be clear about the model first, because it matters for trust and for your club's bookkeeping: dodgehub never collects money. There is no payment processor, no balance held by the platform and no fee skimmed from your orders.
Your club publishes how it wants to be paid. Buyers pay the club directly, outside the app, and dodgehub records the state of each payment. That keeps your money flow, your bank account and your accounting exactly where they already are.
Show your payment methods at checkout
In the club settings you add one or more payment methods. Each method appears on the payment step of the checkout, so buyers know exactly what to do:
Bank transfer with recipient, IBAN and the payment reference buyers should use, for example the session name or order number.
PayPal with an address or a link.
Custom instructions for anything else, such as cash at training.
A switch to hide a method temporarily without deleting it.
How a payment moves from “awaiting” to “paid”
Every order has a payment state that both sides can see.
1. Order placed, payment awaited
After checkout the order shows “awaiting payment” together with the club's instructions. Members see this in their order list and on their dashboard.
2. The buyer reports that they paid
Once the money is sent, the buyer taps that they have paid. The order then shows “payment reported”, which is a signal for managers: please verify this, do not guess. If the session window has already closed but someone still owes you, there is a pay late option that tells you exactly that.
3. A manager verifies it
Managers see which orders have reported payments, check the bank account and either verify and accept the payment or deny it as not received. The buyer sees the result on their order instead of sending “pretty sure I paid” into the chat.
4. The order changes after payment
If an order is edited after payment was confirmed, dodgehub flags that the payment needs to be rechecked, because the total may have changed. Nobody ends up with a stale “paid” label on a different order.
Prefer to confirm everything yourself?
Some clubs do not want buyers to tap “I have paid” at all. A club setting controls whether buyers can report payment. With the option off, the club alone marks payment received once it matches the transfer, which keeps the status completely under the treasurer's control.
Reminders without the awkward conversation
In the orders view for a session, the remind everyone to pay button sends a payment request by email to everybody who still owes for that session. Buyers also receive an order-recorded confirmation when their order is saved, provided an email address is on file, so they have the reference and the instructions in their inbox.
Reminders go out once, on demand, when you decide. That is the difference between a polite nudge and being the club's debt collector.
A payment overview for treasurers and managers
The orders page shows a payment summary for the current filters: how many orders are fully complete, which ones are past the awaiting stage, which need verification and which have not reported anything yet. Filter by session, by member or guest channel, or by person to answer questions like “who from the spring round still owes us money?” in a few seconds.
On the member side, the dashboard turns the same data into action cards, such as “report payment”, “pay using the instructions” or “order on the way, payment still due”, so people know what to do next without asking you.
Works for member orders and guest orders alike
Guests who order through the share link see the same payment instructions and can look up their order with the reference they received. Managers see their payments in the same list as everyone else's. Learn how that works in guest and external orders, or see how payments fit into the whole club shop.
Frequently asked questions
Does dodgehub charge a fee on payments?
No. dodgehub does not process payments at all, so there is nothing to charge a fee on. Any fees from your bank or PayPal are between you and them.
What if someone says they paid but the money never arrived?
Managers can deny a reported payment as not received. The order goes back to awaiting payment and the buyer can see why.
Can I track partial payments?
Not at the moment. A payment is either awaiting, reported or received for the whole order. If you need partial payments, tell us through the feature requests in the app.
